Overview

With the Bulk Contract Extraction feature, you can:

  • Upload multiple order forms into the system for processing.

  • Automatically extract key data points like supplier information, start date, end data, total contract value, and auto-renewal information.

  • Review and commit the extracted data to your agreements table.

Accessing Bulk Contract Extraction

To begin, navigate to the Agreements section where you'll find the option for Automatic Contract Extraction:

  • Upload Order Forms: Gather all your order forms and upload them in bulk.

  • Naming the Batch: You can assign a custom name to your batch or use the default naming convention.

Important: The Bulk Contract Extraction feature currently only supports the upload and processing of Order Forms in USD.

Other document types, such as NDAs, MSAs, or any documents in currencies other than USD, are not supported at this time and will be flagged as unsupported during the extraction process. Please ensure that you are only uploading order forms that meet these criteria to avoid errors in the extraction process.

Uploading and Extracting Data

Here’s how to upload your order forms and extract data:

  1. Upload Documents:

    • Ensure that only order forms are uploaded as other document types (e.g., NDAs) are not supported.

    • The system will flag unsupported document types and move them to the “Failed” category.

  2. Start Extraction:

    • After uploading, the system will automatically begin the extraction process.

    • This process includes an AI-powered data extraction followed by a data ops review to ensure accuracy.

  3. Monitor Progress:

    • You will receive a notification when the extraction is in progress.

    • View the progress by clicking on Go to Batches where you can see the status of each document.

Reviewing and Committing Data

Once the extraction is complete, the order forms will be categorized based on their status:

  1. Failed Documents:

    • These are documents that were unsupported and could not be processed.

  2. Needs Action:

    • These are order forms where some information was extracted, but additional details are required.

    • Review the highlighted fields, provide missing information such as auto-renewal terms, and commit the data.

  3. Ready to Commit:

    • Documents in this category have all the necessary information extracted.

    • You can choose to review the data or commit all the contracts in this state directly.

Finalizing Contracts

After reviewing the extracted data:

  1. Commit Contracts:

    • Once satisfied with the data, commit the contracts to finalize them in the system.

    • The committed contracts will then appear in your agreements table, fully integrated with all extracted data.

  2. Upload Additional Contracts:

    • If needed, you can upload more contracts at any time, repeating the above steps.
