This article covers subscriptions, how they are created, and how to manage them.

Before You Begin

Contract Vs. Subscription

A Contract usually has a signed agreement with a clear end date and a term length of one year or more.

Subscriptions are purchased with a credit card, typically billed monthly with no definitive end date and can be cancelled at any time.


Creating Subscriptions

  1. Click the purple Add agreement button on the top right corner of the screen

  2. Click Subscription right-hand pop-out

  3. Fill out the relevant fields to match your subscription

    • Product - the product that the subscription is for

    • Start date - beginning date for the subscription

    • Billing Frequency - how often you are billed for the subscription

    • Billing Amount - the monetary amount the subscription costs

    • Subscription Owners - any users that would be an owner of the subscription

  4. Click the purple Create button on the bottom right corner of the page

Congrats! Your subscription has been created.

Editing Subscriptions

  1. On the subscription you want to edit, first click the Properties tab on the top of the page

    • Subscription Status - mark the subscription as cancelled

    • End Date (Optional) - date that the subscription ends

    • Purchase Information -

      • Product - product that the subscription is for

      • Start Date - beginning date for the subscription

      • Billing Frequency - how often you are billed for the subscription

      • Billing Amount - the monetary amount the subscription costs

    • Subscription Owners - any users that would be an owner of the subscription

  2. After making edits, click the purple Save Changes button on the bottom right side of the page

Cancelling Subscriptions

  1. On the subscription you want to cancel, first click the Properties tab on the top of the page

  2. Under Subscription Status, toggle the Mark as Cancelled option to cancel the subscription

  3. After toggling to cancelled, click the purple Save Changes button on the bottom right side of the page

Important Note: Marking the subscription as Cancelled does not inform the supplier or Vendr! It is your responsibility to communicate your intent.
