This article covers all details about Vendr's notifications options.

Overview

Notifications keep you updated about the following types of activity in your Vendr account:

  • General alerts

  • When a contract you own is up for renewal

  • Other users @mention you or make a comment in a workflow

  • When workflow tasks are assigned or ready to be completed

Notifications are ON by default, but individual users can opt-out as they choose.

All users can receive notifications in any of 3 ways:

  • In-app Notification Center

  • Email

  • Slack

    • Requires admin configuration, see our Slack Integration Setup Guide

    • If Slack is not configured, you'll see a message at the top of the Notifications page in the account admin settings

In-App Notification Center

The Notification Center can be found by clicking the little bell icon in the top left corner of your screen.

The Notification Center is a one-stop shop for all your Vendr Notifications (although we'll also send notifications to your email and, if it's been configured by an administrator in your account, Slack).

There are 5 types of notifications you might get:

  1. General Alerts

  2. Contract Renewals

  3. Task Notifications

  4. Workflow Mentions

  5. Workflow Comments

Clicking on any notification will bring you directly to the relevant area in Vendr.

There are several options for managing individual notifications:

  • Mark as Unread: Missed something? No worries, mark notifications as unread to revisit them later.

  • Mark All as Read: Keep your inbox clean by marking all notifications as read.

  • Archiving: Archive notifications to declutter your inbox while keeping them accessible for future reference.

  • Filtering Options: Filter notifications by all, unread, or archived to easily find what you're looking for.

  • Unread Count: See at a glance how many new notifications you have waiting.

  • Notification Settings: Easily access and adjust your notification settings right from the Notification Center.

Notification Frequency

There are three types of notification frequency:

  • Immediate notifications

  • Ongoing notifications

  • Monthly digest (for Manager and Admin roles)

Immediate Notifications

Vendr sends immediate notifications when:

  • A contract I own is up for renewal: when you are an owner of a contract that is up within the renewal window set forth by your organization you will receive a one-time notification reminding you to renew.

  • (Admins & Managers only) Any contract in my organization is up for renewal: when any contract is up within the renewal window set forth by your organization all users with an Admin or Manager role will receive a one-time notification reminding you to renew, regardless of whether or not those Admins/Managers are listed as the owner of that contract.

  • Someone @mentions me on a workflow: when someone @mentions you in a workflow comment.

    • Note: When someone @mentions you in a comment, you are automatically subscribed to all comments in that workflow moving forward. At any time you can turn “comments” off and choose to only be notified for @mentions.

  • Someone comments on a workflow I've been involved in: Once you’ve been included in a workflow Vendr will notify you about any comments made.

  • Someone assigns me a task: when you're assigned to a task or when a task you’ve been assigned is ready to start.

Ongoing Notifications

  • I have contracts up for renewal: when you are an owner of a contract that is up within the renewal window set forth by your organization you will receive an ongoing reminder sent weekly on Wednesdays.

  • I have open tasks: When you have open tasks you will automatically be sent a reminder on Tuesdays and Thursdays

Renewal deadlines can be configured or changed by an admin or manager roles.

Monthly Digest

Admin and managers can choose to opt-in to a monthly summary notification. By default, this will be off. The notification is sent on the 1st business day of every month and will include any renewals scheduled in the next 90 days.

  • Monthly Digest: contains information about any contract within your organization that is up for renewal. Sent on the 1st business day of every month

How to Configure Notifications

All Users

All Users will be able to access the Notifications page by:

  • Either clicking Notification Settings in the bottom-left of your Notification Center

  • OR clicking the 3 dots to the right of your name in the bottom left of their browser window, then clicking Your preferences.

Admins

Admins can access the Notifications settings from within the Admin menu, and they have an additional notification setting they're able to adjust.

Slack

Additionally, if you have not yet connected the Slack integration, there will be two further differences:

  1. The Slack toggle will not be selectable

  2. There will be a banner message letting you know about connecting the integration

To connect the Slack integration, you'll need to be an admin user in your Vendr account.

After connecting the integration, there are two ways users can receive notifications via Slack:

  • Public Channel Notifications (you selected this channel in Step 6)

  • Personal/DM Notifications

These may require additional configuration.

  • Public Slack Channel Notifications:

    • User Involvement

      • Users are not automatically added to this channel

      • Either you add users to the channel or they add themselves

    • Notifications:

      • Includes updates like request updates, contract renewal reminders, etc., but only if enabled by the admin, separate from the request updates.

  • Personal/DM Slack Notifications:

    • Activation: Once the admin enables the integration, individual users have the option to opt-in or opt-out.

    • Notifications are ON by default for:

      • @mentions

      • Task assignments or reassignments

      • Task reminders

      • Contract renewal reminders
