What are Suppliers?

Suppliers in Vendr offer a centralized view of your organization's relationships with SaaS providers, unlike other sections of your Vendr account which focus on specific aspects like Agreements or Workflows. From the Suppliers page, you begin with an overarching view of all suppliers related to your organization. You can then:

  • Filter suppliers by various criteria, such as active versus expired suppliers.

  • Explore detailed data for each supplier, including associated Agreements, Products, Workflows, and Documents.

Finding Suppliers

Suppliers can be accessed via the Procurement section of the left-hand menu in your Vendr account.

How do Suppliers work?

Existing Customers: Products now nested under Suppliers

For existing customers, especially those upgrading from Vendr 2.0 to Vendr Premium Procurement, the suppliers' functionality will be familiar. Products are now categorized under suppliers rather than listed separately, enhancing organization and accessibility.

Suppliers Table View

The Supplier Table View offers:

  • Filtered Views: Create and save multiple views based on combinations of filters.

  • Supplier Properties as Table Columns: View essential supplier details as columns; customize to include properties relevant to your needs.

  • Add Supplier: Easily add new suppliers to your database.

  • Download Table & Column Configurator: Adjust which properties are displayed and download the data as a CSV file.

  • Create and Customize Views: Public views are available organization-wide, whereas private views are stored locally and can be lost if you clear your browser data.

Create New Views

In Vendr, you can customize how you view supplier information by creating new views. You can initiate this by clicking the "+" button in the top right corner of the table. There are two options for creating views:

  1. Duplicate and Modify: Start with an existing view, duplicate it, and modify as needed.

  2. Start from Scratch: Create a completely new view from the ground up.

Types of Views:

  • Public Views: Stored in Vendr and accessible to anyone at your organization with the appropriate permissions.

  • Private Views: Stored locally in your browser. Note that clearing your cache or changing browsers will erase these views

Private Views are Stored Locally!

Clearing your cache, resetting your browser, using a different browser, etc. will erase your private views.

Public views are unaffected by any of the above circumstances.

Configure Column Headers on Views

On any of your views (whether they already existed or you just created it), you can edit which columns appear in that view by using the (Adjust columns) button in the top right of the table.

Click that button and it will open a window where you can:

  • Check/uncheck which columns you want on/off

  • Reorder the columns - top to bottom in this window displays left to right on the view

Any custom properties you've created for Suppliers will show up here as column options.

Click Apply to save changes for that view.

You must edit columns for each view separately.

Supplier Detail Page

There are 4 tabs on the Supplier Detail Page:

  • Supplier Overview - high-level info, as well as other related records in your account

  • Supplier Spend - transactional spend identified via integrations

  • Supplier Properties - metadata about each supplier

  • Supplier History - audit log for the Supplier record in your Vendr account

Supplier Overview

The Supplier Detail Page is organized into four main tabs:

  1. Supplier Overview:

    • High-level information and related records.

    • Agreements Table: Lists all associated contracts and subscriptions, showing status and end dates. Add missing contracts with the "+ Add Agreement" button.

    • Product Table: Lists all products linked to the supplier. Add products with the "+ Add Product" button or archive unused products.

    • Workflows Table: Displays linked renewal or purchase workflows. Access specific workflow details by clicking the workflow name.

  2. Supplier Spend:

    • Transactional data identified through integrations.

    • Spend Table: Shows actual spend, the sources of spend data, and specific product links. Transactions can be edited or archived using the three dots button.

    • 12 Month Spend Chart: Visual breakdown of spend over the last year.

  3. Supplier Properties:

    • Contains metadata like the Supplier's legal name and website URL (both typically managed by Vendr), ownership details, risk ratings, and custom properties.

  4. Supplier History:

    • Functions as an audit log, documenting significant events related to the supplier.

    • Event details such as type, description, date, and associated IP address are recorded, providing a useful but not definitive insight due to integration and access configurations.

Supplier Properties

  1. General Properties:

    1. Supplier Legal Name - managed by Vendr when greyed-out

    2. Website URL - managed by Vendr when greyed-out

    3. Owner - This is the person in your organization who is responsible for the account at the Supplier level.

      • Note: This may or may not be the same as the Product Owner or Contract Owner. The fields are not linked so you can specify ownership to meet your organization's needs.

  3. Custom Properties: Here is where you'll see any custom properties you've created

Supplier History

The History page works kind of like an audit log for that supplier.

The accuracy and thoroughness of the History page largely depends on your integrations and how access is configured at an organization level.

This data is a useful signal but cannot always be treated as a source of ultimate truth due to the variables in where the data is pulled from.

  1. Event Date: The time and date that the event took place.

  2. Event Type: The type of event. (i.e. access to a product is granted or revoked.)

  3. Event Description: A description of who gained/lost access to what.

  4. IP Address: Some event types are tied to a specific user action. If possible our system will identify and display the relevant IP address.

  5. Download: Click the download icon to export a CSV of the displayed data.

This structured approach ensures a comprehensive management of supplier relationships, allowing you to maintain a clear overview of all interactions and data related to each supplier in your Vendr account.
