Once your platform setup is complete, it’s time to roll out Vendr to your organization. In this article, we’ll walk you through some recommendations on how to set your team up for success.

Invite your team

Once your platform setup is complete, it’s time to roll out Vendr to your organization.

To kick things off, invite users to the platform and make sure their appropriate role type has been assigned. You can manually add users or set up SSO for more control and flexibility.

Your rollout strategy and role assignment will likely vary based on your company’s team structure and goals, but below are some recommendations if you’re not sure where to start.

  • Individuals thinking about purchasing SaaS for their team/org should, at minimum, be given Researcher access. This will give them the ability to access Buyer Guides for market research and SaaS Advisory to chat with experts for feedback on purchase inquiries.

  • Owners of a contract or subscription will need to be assigned the role of Requester. This also applies to individuals who may need to make a future purchase. The requester role allows them to submit renewal and new purchase requests in Vendr.

  • For anyone approving a workflow step in Vendr, they will need the role of Approver. This allows them to login to the system and keep the workflows moving forward.

Verify your contract management system is up and running

It may take some time to get all of your contracts and subscriptions loaded into the system.

To set yourself up for success in the long run, ensure the correct contract owners are assigned at the beginning. You can assign multiple contract owners if multiple people need to be notified of an upcoming renewal.

If you are leveraging Vendr’s workflows and approvals process, ensure that all workflow steps are assigned to the right individual or team. By leveraging teams, you can ensure that workflows don’t stall if someone is on vacation as approvals need to get done.

Notifications will allow the team to stay on track. If you use Slack at your organization, make sure that you have set up the integration to get notified there as well as email and in-app.

Communicate your new process

Once roles have been assigned, make the team aware of their role within Vendr.

  • If they are an approver, make sure they are familiar with the workflow process established by your organization. Make sure all timelines and requirements are communicated. How to approve a step.

  • If they are a contract owner and need to submit renewal requests, or make a new purchase request, show them how to submit requests and complete intakes within the system. Inform them of the importance of submitting requests in a timely manner. If you have any workflow steps assigned back to the initial requester, they should also be informed on the workflow requirements expected of them.

  • Make sure all stakeholders know how to contact Vendr Support if they have questions.

Note: If you have premium negotiations and want Vendr to negotiate on your behalf, we require a minimum of 15 business days before the renewal deadline, but recommend initial requests are submitted at least 90-120 days in advance of the purchase/renewal deadline.
